Closed days

The Closed Days section allows you to set specific dates when your business is unavailable for appointments. These can include public holidays, company-wide events, or emergency closures. Closed days directly affect availability, meaning customers will not be able to book appointments on the selected dates.

Role access: Owner, Admin, or Manager role.

Creating Closed Days

To add a closed day:

  1. Click the "+ Add" button.
  2. Enter a title for the closure (e.g., "Bank Holiday," "Company Event").
  3. Add a description for the closure
  4. Select the start date and end date for the closure.
  5. (Optional) Check the "Block entire day" box if the closure applies for the full day.
    • If unchecked, specify the start time, end date and end time for partial-day or multi-day closure.
  6. Set the time mode: When scheduling a closure across multiple time zones, you can use absolute or relative time settings
    • Absolute Time: The time remains fixed regardless of the viewer’s time zone.
      • Example: A meeting set for 3:00 PM UTC will always be at 3:00 PM UTC, whether someone views it in New York (10:00 AM EST) or Tokyo (12:00 AM JST the next day).
    • Relative Time: The time adjusts based on the user’s local time zone.
      • Example: A company-wide meeting set for 3:00 PM local time means that employees in New York will see it as 3:00 PM EST, while employees in Tokyo will see it as 3:00 PM JST, even though they are 14 hours apart.
  7. Select the unaffected locations from the hierarchical location list. Please note that selected locations will be excluded, meaning those branches will remain open and unaffected by the closed day
    • You can apply the closure to all locations, a region, or specific branches within a region. Selecting a parent branch will automatically select all its child branches.
    • Use the search bar to quickly filter out a specific location.
  8. Click "Create" to save the closed day.

Hierarchy & Permissions

Your ability to create closed days depends on your branch's position in the business hierarchy:

  • Grandparent Branch: Can create closed days for all parent and child branches under it.
  • Parent Branch: Can create closed days for itself and all child branches under it.
  • Child Branch: Can only create closed days for itself.

A Parent branch cannot modify or delete a closed day created by Grandparent branch. Similarly, a Child branch cannot modify or delete a closed day created by Parent branch. However the table that lists all the closures shows where a closure was created/managed so that a location lower in the hierarchy can reach out to the managers of this location to demand an exclusion or change.

Managing Closed Days

  • You can edit or delete a closed day using the actions on the right.
  • Closures in the past can not be edited, but can still be deleted to clear out the table
  • Closed days automatically affect availability, so appointments cannot be scheduled on these dates.
Please note that the feature (in the current phase of development) does not automatically cancel or reschedule existing bookings during a closure.
