Using Check In for appointments

With JRNI appointment bookings, you can use the Check in page to manage arrivals, completed appointments, and no shows. You can also use the Check in page to record walk-in appointments.

Follow the steps below to use check-in functionality for appointments.

Using Check In for Appointments

Be aware: Appointment check-in is only available at child level. The Check in page also only shows bookings for the current day.
  1. Log into your JRNI account and into a location.
  2. Navigate to the Check in page on the left-hand side under Home.
  3. Here, you will see a list of appointments for the day that can be filtered on the right-hand side by customer, staff, resource, or service.
  4. Find the appointment you want to check in and go across to the right-hand side where it will say Mark as being seen.
  5. Once you click this, the button name will change to Mark as completed so that it is ready for you to select once the appointment is complete.
  6. The time of check-in is also recorded. You will see in the image below that it records the time at which the customer was seen.

  1. When the appointment is complete, select Mark as completed.
  2. The booking will then update to show the time at which the booking was completed.
  3. Once completed, Booking outcomes will appear for you to collect information about the appointment. This helps to collect additional data.
Note: If a customer is late for an appointment, their appointment will appear in the check-in list with an Overdue note, as seen below.

Appointments that are overdue (according to booking time) are highlighted to indicate that action is required. Use the options to mark the attendee(s) as a no show or as arrived.

How to record no shows

To record appointment no shows, follow the steps below:

  1. Repeat steps 1 - 3 from the check-in instructions above.
  2. Find the appointment you want to mark as a no show and go across to the right-hand side of the appointment information.
  3. Next to Mark as being seen it will say No show, select this button.
  4. Once selected, the appointment will update to show the no show as shown below.

How to record walk-ins

If you have the availability to do so, you may wish to book appointments on a walk-in basis.

Follow the steps below to record a walk in:

  1. Log into your JRNI account and into a location.
  2. Navigate to the Check in page on the left-hand side under Home
  3. On the right-hand side of the check in page select Walk in.
  4. You will then be shown a five-step booking process.
Tip: For more information on the booking process refer to the Creating appointment bookings article.
  1. Once you have added all of the information, select Book now and the appointment will appear in the list available for check-ins and also on the calendar.

Reporting

When using JRNI Analytics Basic, check-ins are reflected in CSV reports. All statuses are reflected in reporting. If a check-in has not had a status attached to it, this will show up as blank for the associated booking in the report.

The reporting data appears on the Basic page under the Analytics tab on the left-hand side of Studio.

If you have access to JRNI Analytics Essentials or Plus, this data is displayed on the Appointment Dashboard. With access to JRNI Analytics Plus, this data can be used to create your own custom reports.
